Term and Conditions upon Booking Cwtsh Camera
You (the contracted party) or anyone using our services agree to the following terms when you hire our services. A contract will exist between you and Cwtsh Camera when a signed booking form and payment or part payment is received; we therefore recommend you read and perhaps retain a copy of these terms and conditions for your records.
Deposits, Payments and Bookings
When a booking is made with Cwtsh Camera regardless of the method of contact it is deemed that the customer has read, understood and is bound by these terms and conditions of hire.
A deposit of £50 is required on receiving the booking form, to secure an event date; the date is only confirmed as booked when the deposit is received. Should the deposit arrive after the form, the date is only secured once the payment has cleared. If the deposit is not received within 14 days of receipt of the booking form, the booking form will be void and the date will be released to other customers.
All full balances need to be received and cleared 28 days prior to the event.
Payments can be made by cheque, made out to Ashley ward, or by BACS using the following details:

Cancellations
The deposit is non-returnable. Cancellation up to 56 days prior to the event will result in a return of all balance paid to date, excluding the deposit.
Cancellation between 56 days and 28 days before the event will result in a return of 50% of the balance paid to date, excluding the deposit.
The full balance is retained by Cwtsh Camera if the event is cancelled within 28 days of the event. If the balance has not been paid, you will be invoiced for the remaining amount.
In the event of cancellation, we reserve the right to re-book the date as we see appropriate.
All equipment remains the property of Cwtsh Camera at all times.
Travel
Cwtsh Camera travel happily for free within 30 miles of SA48 7AB, checked using an online route-finder. Travel beyond this is charged at 50p per additional mile, in each direction.
We work throughout Wales and the Borders, but should the return journey take longer than two hours according to an online route-finder, overnight accommodation will need to be provided at additional cost to you.
Space and access, venue, location and equipment
It is your responsibility to ensure the Cwtsh Camera booking form is filled in correctly, and we are given the correct venue address, postcode and contact details. The company cannot be held responsible for delays due to incorrect information.
The Cwtsh Camera studio booth requires a minimum area of 3m x 3m to operate successfully, and it is your responsibility to arrange this with the venue. This area needs to be cleared of objects, with a level hard floor and weatherproof. If outside in an enclosed marquee in colder season, the space will need to be adequately heated.
The studiobooth requires a power supply, within 10m of the set-up location. Should the power supply fail at any point Cwtsh Camera are not liable to refund any fees if we are unable to continue. If we encounter other technical difficulties that are resolved during the event, we are not liable to refund any fees but may extend the session time at our discretion once back up-and-running. If we suffer technical difficulties that cannot be resolved and the session must end, we will provide a pro-rata part refund after the event to cover the agreed session length that was left unfulfilled.
Cwtsh Camera are covered by Public Liability Insurance. There is no legal requirement for our equipment to be PAT Tested, but all our equipment is adequately and regularly maintained to prevent danger. It is your responsibility to check this is acceptable to the venue, and we are not responsible if the venue refuses to allow Cwtsh Camera to operate on this basis.
Timings and set up
Cwtsh Camera attend to set up between 60 and 90 minutes prior to the start time – please ensure we have access to the location at this time.
The session will start at the time agreed on the booking form. Should the session be delayed and Cwtsh camera be at fault, we will fulfil the agreed session length from the new time the session begins, at our discretion.
Should the session start time be delayed for any other reason, within or without your control, Cwtsh Camera is not obliged to fulfil the original agreed session length, but will instead work to the original timings and charge any additional time agreed with you at £25 per half hour.
In booking Cwtsh Camera we agree to provide a service between strict agreed times, as laid out on the booking form – any changes to this are made at our discretion, always.
In the event you need to change timings prior to the event we will do our best to accommodate them but can’t guarantee we can meet these changes.
Damage to equipment and safety of staff, termination of hire
In the event of behaviour by guests that could affect the safe running of our equipment, cause damage to the photo booth, props or other equipment, or we experience rudeness or threats to our staff we reserve the right to immediately cease use of the equipment and remove it from the event. In this instance the hire fee still remains payable in full.
The customer is responsible for any damage to the booth by their guests, beyond general wear and tear.
If the attendant feels due to excess alcohol someone is unfit to use the booth we reserve the right to refuse them access to the booth.
Cwtsh Camera will not be liable for any loss or damage to property owned by those using the photo booth, or personal injury to any participants however caused, unless proven the result of negligence of Cwtsh Camera.
Participants must be physically fit to take part in the photo booth activities, and free from any illnesses or conditions which may render the activity hazardous. Cwtsh Camera accepts no responsibilities if clients do not adhere to these rules.
Events beyond our control
Cwtsh Camera will not be held responsible for circumstances out of our control (births, deaths, illness, transport issues, theft of (or recent damage to) equipment etc) that may prevent us from attending your event. In the unlikely event this occurs we will be liable only to refunding all fees paid to us by you, including the deposit.
Use of images
You agree that all images taken in the photo booth can be uploaded to an online gallery hosted on our Facebook page - www.facebook.com/cwtshcamera. We will not upload any images deemed to be offensive, or that could cause embarrassment to individuals; you will still receive these on your disk of event images however. We will remove any photos from Facebook or the website if requested to do so, and endeavour to do so in a timely manner.
You grant us permission to use any images taken for advertising and promotional purposes unless specifically requested in writing prior to the event.
Cwtsh Camera grants you permission to print and share any images from the disk provided to you, but the copyright and ownership of the original images remains ours.
